What to put on a photography invoice
A clear photography invoice separates every part of the job so clients understand what they're paying for. The usual line items are: shoot or coverage time (per hour or a flat package), editing and retouching, prints or albums, image licensing or usage rights, travel and mileage, and add-ons like a second shooter, extra hours, or rush delivery.
Breaking these out โ instead of one lump sum โ reduces disputes, makes upsells obvious, and shows the real value behind your rate. It also lets you apply tax correctly, since prints and physical products are often taxed differently from services.
Deposits, retainers and the payment timeline
Most photographers bill in two stages. A non-refundable booking retainer (commonly 25โ50%) secures the date and covers you if the client cancels. The balance is then due before you hand over the final gallery โ never deliver the high-res images before you've been paid in full.
For weddings and large commercial jobs, milestone billing works well: a retainer at booking, a second payment near the shoot date, and the balance on delivery. State each due date clearly on the invoice so there's no ambiguity.
Licensing and usage rights โ the line item photographers forget
For commercial, brand, or product work, the licensing is often worth more than the shoot itself โ yet it's the item most photographers leave off. Always itemize it: what the images may be used for (personal, editorial, commercial), where (web, print, social, ads), for how long, and whether the license is exclusive.
Unless you explicitly transfer copyright, you keep it โ so add a short copyright and usage clause to your terms. If a client later wants broader usage, that's a new licensing line item, not a freebie.
